Below, we explain which personal data is processed when you use planigraph.lu, the purposes of this processing and your rights.

1. Data controller

The controller responsible for processing personal data on this website is:

PLANIGRAPH S.à r.l.
5, Zone d’activités Grousswiss
L-6833 Biwer · Luxembourg
Telephone: +352 26 95 77 31 – 1
Email: info@planigraph.lu

2. Hosting and server log files

This website is hosted by Mittwald CM Service GmbH & Co. KG, Königsberger Straße 4–6, 32339 Espelkamp, Germany. A data processing agreement is in place with the hosting provider.

When you access the website, data that is technically necessary is processed in server log files. This may include, in particular, your IP address, the date and time of access, the page or file accessed, the referrer URL, your browser type and version, and the operating system used. This processing ensures that the website is provided securely, reliably and without technical errors, and helps prevent and analyse disruptions and misuse.

The legal basis is Article 6(1)(f) of the GDPR. Our legitimate interest lies in the secure and reliable operation of the website. Server log data is retained only for as long as necessary for operation, security and error analysis, unless legal obligations require a longer retention period.

3. Contact by email and telephone

If you contact us by email or telephone, we process the data you provide, in particular your name, contact details and the content of your enquiry, to handle your request and communicate with you.

If your enquiry relates to an existing or potential contract, processing is based on Article 6(1)(b) of the GDPR. In other cases, it is based on Article 6(1)(f) of the GDPR; our legitimate interest is to handle incoming enquiries appropriately.

4. Service requests via the website

You can submit requests for repairs, maintenance and other services using our service request form. In doing so, we process, in particular, the selected service category, your description of the problem, your name, telephone number, email address where provided, town or postcode, and the context of the page from which the request was initiated.

You may voluntarily submit up to three photos or PDF files. These files are processed as attachments for the technical purpose of forwarding your service enquiry. The enquiry itself is also stored as a service lead in our WordPress system and sent to the relevant PLANIGRAPH service mailbox.

The legal basis is generally Article 6(1)(b) GDPR where the enquiry serves to prepare for or perform a contract; otherwise, it is Article 6(1)(f) GDPR for the efficient handling of your enquiry.

5. Enquiries about building components and projects

You can use the building components enquiry form to send us information about your project. In particular, we process the product category you are interested in, the type of project, your preferred timeframe, a description of the planned work, your name, telephone number and/or email address, town or postcode and, where applicable, the page context.

You may voluntarily submit up to three images or PDF documents. These files are processed for the technical purpose of forwarding your enquiry. The enquiry itself is also stored as a building components lead in our WordPress system and sent to the relevant PLANIGRAPH mailbox.

Processing is based on Article 6(1)(b) GDPR where it concerns steps taken prior to entering into a contract or the performance of a contract; otherwise, it is based on Article 6(1)(f) GDPR for the handling of your enquiry.

6. Job applications

If you apply for a job through our website, we process, in particular, your name, telephone number, email address, the position you have selected, your message and, where applicable, your CV.

Application data is stored in our WordPress system as a job application and sent to the PLANIGRAPH HR mailbox. Uploaded CVs are stored in a protected area outside the publicly accessible WordPress media library. Access is restricted to authorised administrators or the relevant employees.

Processing serves to conduct the recruitment process and is based on Article 6(1)(b) GDPR, including steps taken prior to entering into a contract. Application data is stored only for as long as necessary for the recruitment process and, where applicable, to fulfil statutory documentation and retention obligations or to defend against or assert legal claims. It is then deleted.

7. Cookies and consent management with Complianz

We use technically necessary cookies and similar storage technologies that are required to operate the website and store your privacy settings. For non-essential services, we obtain your consent before activating them, where required by law.

To manage your choices, we use Complianz. Your decision is stored so that the website can take your choices into account on subsequent visits. You can change your choices at any time via the page Cookies & Consent .

For technically necessary storage, the exemptions under Luxembourg law for strictly necessary cookies and similar forms of access apply. Where consent is required, processing based on that consent is carried out under Article 6(1)(a) GDPR. You may withdraw your consent at any time with effect for the future.

8. OpenStreetMap

Maps from OpenStreetMap may be embedded on our website. The map is loaded as external content only once you have given your consent through our consent management system.

When external map content is loaded, technical data, in particular your IP address and browser information, may be transmitted to the servers used for OpenStreetMap. The legal basis for loading this external content is your consent under Article 6(1)(a) GDPR. Further information can be found in the OpenStreetMap Foundation Privacy Policy.

9. External links, social media and WhatsApp

Our website contains links to external services, including Facebook, Instagram and, where applicable, WhatsApp. These services are not embedded as social media feeds on planigraph.lu. As a rule, a connection to the respective provider is only established when you click the corresponding external link.

Any subsequent data processing on the websites or in the apps of the respective providers is subject to their own privacy policies.

10. Analytics and advertising tracking

At present, we do not use any analytics or advertising tracking services of our own on planigraph.lu. If additional non-essential services are used in future, they will, where required, be controlled through the consent management system before being activated and disclosed in the privacy notice or cookie information.

11. Recipients and data processors

Within PLANIGRAPH, only those who need personal data to handle the matter in question are given access to it. External recipients only receive data where this is necessary for hosting, technical provision, email communication or other services we use, or where there is a legal obligation.

Where service providers process personal data on our behalf, they are engaged in accordance with data protection requirements.

12. Retention period

Personal data is only stored for as long as necessary for the relevant purpose. If an enquiry leads to a contractual or business relationship, data may be stored for longer in accordance with statutory commercial, tax or other retention obligations. Once the purpose no longer applies and any statutory retention periods have expired, the data is deleted unless there is another legal basis for continued storage.

13. Your rights

Subject to the applicable legal requirements, you have, in particular, the right of access to your personal data (Article 15 GDPR), the right to rectification of inaccurate data (Article 16 GDPR), erasure (Article 17 GDPR), restriction of processing (Article 18 GDPR), data portability (Article 20 GDPR), and the right to object to processing based on Article 6(1)(e) or (f) GDPR (Article 21 GDPR).

Where processing is based on your consent, you may withdraw that consent at any time with effect for the future. This does not affect the lawfulness of processing carried out before the withdrawal.

To exercise your rights, you can contact info@planigraph.lu .

14. Right to lodge a complaint

You have the right to lodge a complaint with a data protection supervisory authority. The Luxembourg data protection supervisory authority is the principal competent authority for PLANIGRAPH:

Commission nationale pour la protection des données (CNPD)
15, Boulevard du Jazz
L-4370 Belvaux · Luxembourg
Telephone: +352 26 10 60 – 1
Email: info@cnpd.lu

15. Security of data transmission

This website uses an encrypted HTTPS connection. This protects the data you send us against straightforward interception by third parties during transmission. However, complete protection of electronic communications against all risks cannot be guaranteed.

16. Updates to this privacy policy

We update this privacy policy when the website, the services used or legal requirements change.
